1. About the Practice

Northwood Children's Nutrition is a sole-trader private dietetic practice run by Christina Pickersgill, Registered Dietitian. HCPC Registration: DT033451. BDA Membership: 22543. Professional indemnity insurance is arranged through the British Dietetic Association.

2. Acceptance of Terms

By booking an appointment you confirm that you have read, understood and accepted these Terms of Business and the Privacy Notice. Acceptance is evidenced by ticking the confirmation box on the booking form. The person booking confirms they are aged 18 or over, hold parental responsibility for the child under the Children Act 1989, and that all information provided is accurate.

3. Services and Fees

All consultations are delivered via secure video consultation:

• Initial Consultation: 60 minutes — £150
• Follow-up Consultation: 40 minutes — £120
• Working hours: Fridays, 09:00–13:00 (UK time)

Consultations are exempt from VAT (VAT Notice 701/57). Full payment is required at the point of booking via Stripe.

4. Scope of Practice

The Practice provides specialist paediatric nutritional support for children aged 2 months to 18 years. Services within scope include: IgE and Non-IgE food allergies, food reintroduction and food ladders, nutritional assessment, weaning advice, and exclusion diets while breastfeeding.

Services outside scope include: eating disorders, acute allergic reactions or anaphylaxis, and undiagnosed allergies requiring initial medical assessment. The practitioner reserves the right to decline cases outside her scope of practice.

5. Cancellation and Rescheduling

• More than 48 hours' notice: 50% refund, or free reschedule within 3 months.
• Within 24–48 hours: 50% refund or one free reschedule, at the client's choice.
• Within 24 hours: no refund; reschedule at practitioner's discretion.
• No-show: full appointment fee retained.

One discretionary free reschedule is ordinarily offered where cancellation is due to genuine child illness or family emergency. Cancellation by the practitioner will result in priority rescheduling or a full refund.

6. Technology

Clients are responsible for ensuring a stable internet connection, a working device with camera and microphone, and appropriate video consultation software on the day of the appointment. The practitioner will wait 15 minutes for a late client before treating the appointment as a no-show. Where technology fails on the practitioner's side, a full reschedule will be offered.

7. Between Appointments and Emergencies

The Practice is not an emergency service. If your child experiences anaphylaxis or any medical emergency, call 999 immediately. Brief email queries (two to three sentences) will be answered within five working days. Queries requiring clinical assessment require a paid follow-up consultation.

8. Intellectual Property

All materials provided — including care plans, food ladders and handouts — are the copyright of Northwood Children's Nutrition. They are for the personal use of the named child and their primary caregivers only and must not be shared publicly or used for any other child.

9. Recording

The practitioner does not record consultations. Clients are not permitted to make audio or video recordings without the prior written consent of the practitioner.

10. Limitation of Liability

The Practice's liability is limited to the total fees paid in the 12 months preceding any claim, except for liability that cannot lawfully be limited (including personal injury caused by negligence). Nothing in these Terms affects your statutory rights under the Consumer Rights Act 2015.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any dispute shall be subject to the exclusive jurisdiction of the courts of England and Wales.

12. International Clients

The Practice accepts international clients but practises under UK law and UK professional regulation. Clients outside the UK acknowledge that the practitioner is regulated in the UK only. An administrative surcharge may apply to international card transactions to reflect higher processing costs; this will be displayed clearly at booking.

Who we are

What information we collect

To provide dietetic care, we collect:

• Your child's name, date of birth, GP details and clinical history
• Parent/carer name, phone number, email address and relationship to the child
• Reason for referral, symptoms, growth data, and any test results you share
• Notes from consultations and care plans we create for your child
• Payment details, handled securely by our payment provider (Stripe) — we never see or store full card numbers

Legal bases for processing

We process this information under the following UK GDPR lawful bases:

• Contract — to deliver the dietetic care you've booked.
• Legitimate interests — for safe record-keeping and clinical governance.
• Consent — for sharing information with your GP or for any non-essential communications.
• Health data (Article 9) — processed under the provision of healthcare and management of healthcare systems condition.

Where your data is stored

Clinical records and bookings are held in Cliniko, a UK GDPR-compliant practice management system designed for healthcare professionals. Email correspondence is hosted on Microsoft 365 Business Premium, with encryption in transit and (where appropriate) end-to-end message encryption. Payments are processed by Stripe. We do not transfer your data outside the UK or EEA without appropriate safeguards.

How long we keep your data

Clinical records for children are retained until the patient's 26th birthday (or 8 years after the last episode of care, whichever is longer), in line with NHS records management guidance. Booking and payment records are kept for 7 years for HMRC purposes. You can request earlier deletion of non-clinical data at any time.

Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you or your child
• Request correction of inaccurate data
• Request erasure of non-clinical data (clinical records have retention obligations)
• Withdraw consent for any processing based on consent
• Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk
